DGO SPREADSHEET GUIDE

Damaged or Missing Parcels: Evidence Checklist

Document parcel damage, missing contents or a delivery discrepancy. Save tracking, packaging and item evidence, then prepare a clear report through the relevant support channel.

YOUR CHECKLIST

Photograph the parcel, compare the contents with the packing record and report the issue through the current support channel.

01

Check the tracking event

Save the latest carrier scan, delivery time and location. If tracking says delivered but the parcel is missing, check the address, reception point and safe-place notice before reporting it.

02

Photograph before changing the package

For damage, photograph all sides of the outer parcel, label, seals and visible damage before unpacking. Keep the original packaging. If possible, record the opening and each item as it comes out.

03

Compare against the packing record

List the expected items and the items received. Match quantities and identifiers with the warehouse or order record. Note any damaged item and the condition of its protective packing.

04

Report with a concise timeline

Contact the carrier and the service handling the shipment through their current support channels. Provide tracking, order or parcel ID, delivery date, photos and a specific description of the missing or damaged goods. Ask which claim deadline and next step apply.

05

Keep the evidence

Save copies of messages, claim numbers and any inspection or refund decision. Do not discard the packaging until the carrier or service confirms it is no longer needed.

Preserve the first reliable evidence

The most useful records are often the delivery scan, parcel label, outer packaging and a clear view of the contents as opened. Take photos before removing damaged seals or throwing away protective material. For a missing delivery, first check the precise address and any safe-place or reception note. Distinguish “tracking says delivered” from “I personally received it” when you report the issue.

Follow the case to an outcome

Submit the problem through the current carrier and shipping-service channels with a consistent timeline. Ask for the applicable claim deadline and any inspection requirement. Keep original photos, claim numbers and replies. If an item is damaged, note whether its inner packing was also damaged; if it is missing, compare the received contents with the warehouse packing record. Do not discard evidence until the case is resolved.

WORKED EXAMPLE

Example: a parcel marked delivered but not found

Check the tracking detail, address, reception desk, household members and any safe-place notice first. If the parcel is still missing, save a screenshot of the delivery scan and contact the carrier with the tracking number and delivery time. Contact the shipping service through its current channel as well, using the same facts. Avoid saying the parcel was stolen unless you have evidence; report what you can confirm and ask for a delivery investigation.

Respond to carton damage or missing contents

The outer carton is damaged

Photograph it before opening, keep the packing and document each item as it is removed.

An item is missing inside

Compare against the packing record and report the exact missing item and quantity with photos.

Support requests more evidence

Provide the original photos and timeline, and keep the claim number and response dates together.

Questions about evidence and reporting a parcel issue

Should I throw the box away after photographing it?

Keep the packaging until the carrier or service confirms it is no longer required for the claim.

Who should I contact first?

Use the carrier for a delivery or tracking event and the shipping service for the order or parcel claim; contact both when the issue crosses those records.

NEXT STEP

Keep the parcel report tied to its items

Keep tracking, package photos, expected contents and support replies together so the reported problem stays tied to the correct shipment.
